GFSI audit documentation for food QA teams

Across GFSI-recognised certification programmes, auditors repeatedly ask for the same thing: controlled evidence that shows what the organisation knew, what changed and how QA responded.

Keep the product evidence together

For each product, be able to retrieve the current recipe, raw-material specifications, packaging documentation, label versions, market requirements and relevant customer specifications. The important point is not that the files exist, but that the relationship between them is clear.

Show supplier and specification control

Auditors may ask how current supplier specifications are identified, how expiry is monitored and what happens when a specification changes. Keep the previous version, the detected change and the impact assessment instead of overwriting the evidence.

Connect findings, CAPA and decisions

Corrective actions are stronger when they remain linked to the finding, source evidence, affected product and verification of effectiveness. Avoid separate spreadsheets that lose the product context.

Make label and market decisions reproducible

For labels and claims, show the product basis, target market, applicable requirements and QA approval. If the same product is sold in several markets, keep shared evidence shared while recording each market-specific decision.

Design for retrieval under pressure

Audit readiness improves when QA can answer a question while the auditor is asking it: open the source, show the current version, explain the decision and demonstrate whether related products were assessed. That is a more useful target than creating a large audit folder once a year.

Common control failures to avoid

Typical failures are not always technical mistakes. They are broken handoffs: a new supplier specification reaches purchasing but not QA, an old artwork remains in circulation, the market changes but the product review is copied, or a calculation is updated without recording the source. A robust system keeps those dependencies visible.

Where evidence is incomplete, keep the gap explicit. A documented open question is safer than a field silently completed from memory, a previous version or an assumption that no longer applies.
